“The address book is preparing to synchronize. Search results might not be current”
Disclaimer: I know there are a thousand and one blog posts on this very subject, mine will offer no additional insight. However, as I’m very active on TechNet I’m getting tired of searching for my favorite to reference each time so I thought I’d just write my own and link to it instead, selfishly.
When you get this error, it simply means that your address book has not yet downloaded. The first time you log into Lync you might see this message pop up.
Before we start anything, let’s make sure our address book is current on the Lync server, this is an automatic process, but we can give it a kick to make sure it’s ready for us. From they Lync Powershell, simply run update-csaddressbook and in the Lync event log wait for LS Address Book Server event ID 21056 which will give you the details of the sync and let you know that it’s complete.
By default, Lync can take up to 60 minutes to download the address book for the first time. To speed things up, let’s set that download delay from 60 minutes to 0 minutes. This can be accomplished by creating the following REG_DWORD registry key and setting the value to 0.
- Lync 2010: HKLM\Software\Policies\Microsoft\Communicator\GalDownloadInitialDelay
- Lync 2013: HKLM\Software\Policies\Microsoft\Office\15.0\Lync\GALDownloadInitialDelay
Occasionally, if the address book is corrupted, Lync won’t replace it and you’ll need to wipe it out manually. If we want to clear any trace of the old address book check for your GalContacts.db and GalContacts.db.idx files. To delete these, completely exit Lync (not just signed out, it has to be a real exit), navigate to the below folders, and delete these files.
- Lync 2010: %userprofile%\AppData\Local\Microsoft\Communicator\email@example.com
- Lync 2013: %userprofile%\appdata\Local\Microsoft\Office\15.0\Lync\firstname.lastname@example.org
Once you sign back in, these files should be downloaded fresh and you should see an up to date copy of your address book.
